Position Summary:

This position will provide support to the Agency by offering efficient and caring service to all callers and clients, to relay accurate and timely information to staff and to complete work in a timely, professional fashion according to Agency standards. Responsible for performing office services related to in-person and telephone requests for service, handling paperwork for individuals coming in for counseling services. General responsibilities include checking in clients, handling payments for services, and functions related to data entry and establishing client records in accordance with contract requirements when services are requested or delivered.

Responsibilities:

Front Desk

  • Check clients in for appointments
  • Schedule/reschedule appointments as needed
  • Receive and distribute incoming mail accurately to all Agency Department
  • Complete monthly postage report
  • Answer telephone calls and relay messages as needed, follow confidentiality and HIPAA protocol at all times
  • Verify eligibility and benefits for all insurance clients
  • Back-up Front Desk duties
  • Perform other duties as assigned

R&R Specialist
  • Maintain records and outcome date per the agency guidelines
  • Submit information to Medical records/Insurance Billing Specialist for ABA
  • Maintain ABA Register and client information in the Electronic Client Record (ECR)
  • Perform functions related to Registrations and Records Department to ensure continuity of services, access, review standards are met according to contract as needed and requested.
  • Respond to client walk-ins and promptly return phone calls from persons requesting Counseling service
  • Screen for urgency and appropriateness of services, make referrals when other services are more appropriate
  • Assign cases for intake-assessment by clinicians, taking into account the client's needs, insurance requirements, therapist expertise and availability
  • Register and maintain client information in the ECR
  • Scan client records and documentation accordingly into the MIS
  • Work with support, accounting, billing and clinical staff to ensure continuity of Client services
    • Request for Medical Records according to Agency protocol and HIPAA
    • Maintain positive working relationships with referral sources and community entities
    • Meet regularly with Supervisor and the Records and Registration Team
    • Back up - For R&R Assistant

Perform other duties as assigned.

Qualifications

Job Requirements:

Physical Requirements:

This position normally requires the physical demands of sitting, standing, walking, bending, lifting or performing other work requiring low physical exertion, talking, hearing and adequate vision on a regular basis to perform the job requirements. These physical demands are required up to 80% of the time.

Non-Physical Requirements:

Education:
  • Associate's degree or Business School training preferred
  • High School Diploma

Experience:
  • 2 years' experience in Receptionist or Secretarial position

  • Excellent client and consumer communication skills
  • Good verbal and written communication skills
  • Ability to manage high detail administrative tasks
  • Ability to work independently and as a team member
  • Date entry and other computer skills
  • Strong interpersonal skills
  • Experienced use of standard office equipment, including copier, fax, answering machine, postage meter, and calculator
  • Flexibility in scheduled work hours to accommodate evening hours as necessary

Licensure, Registration, Certification
  • Valid Washington driver's license and minimum required vehicle liability insurance for WA State

Employment is conditional upon:
